CerTracker vs Zoobook vs BUAMS AI: Behavioral Health Workforce Software Compared

CerTracker vs Zoobook vs BUAMS AI: Behavioral Health Workforce Software Compared

If you are looking at software to manage staff compliance in a behavioral health organisation, you will quickly notice that the options are not really the same kind of product. They solve overlapping problems from three different starting points, and the right answer depends more on what you already own than on which has the longer feature list.

This comparison is published by BUAMS AI™️, so read it with that in mind. We have tried to be accurate about what each option does well, including where another one is the better choice. Everything stated about CerTracker and Zoobook comes from their own public websites as of October 2026.

Choose CerTracker if

Your HR side is already handled and the only gap is credential and continuing education compliance. CerTracker is a workforce compliance specialist, it serves several healthcare workforce types beyond behavioral health, and it is built around credential extraction, verification and monitoring.

Choose Zoobook if

You are replacing your EHR anyway and want clinical and staff management in one system. Zoobook is a behavioral health EHR, and its HR capability is a module inside that EHR. If you are buying an EHR this cycle, the HR module comes along with it.

Choose BUAMS AI if

You want to keep your existing EHR and need the whole workforce side — onboarding, documents, credentials, supervision hours, training, reviews and payroll — in one place, and you would rather try it than sit through a sales call first.

Where each one starts from

This is the part that actually decides the shortlist.

CerTracker — a compliance specialist

CerTracker describes itself as workforce compliance software, with behavioral health as one of several healthcare segments it serves. Its focus is credentials: licences, continuing education, background checks, DEA registration, multi-state licensure, and accreditation readiness, with AI used to extract, verify and monitor documents.

It is deliberately narrow, and narrow is a legitimate design choice. If credentialing is your only problem, a specialist will usually go deeper on it than a broader platform.

Zoobook — an EHR with HR inside it

Zoobook is a behavioral health EHR. Its own article on HR features describes them as part of the EHR's HR module, covering credentialing, performance reviews, staff scheduling, onboarding and training, and HR reporting.

The appeal is obvious: one vendor, one system, clinical and staff data together. The trade-off is equally obvious. Adopting the HR module means adopting the EHR, which is a much larger decision than choosing workforce software.

BUAMS AI — a workforce platform that sits alongside your EHR

BUAMS AI™️ is built only for the employee side. It does not hold client records and does not try to replace your EHR. It holds the personnel file — documents, credentials, onboarding, training, supervision hours, policy acknowledgements, performance reviews and payroll — and keeps the evidence an accreditation surveyor asks for current and exportable.

That boundary is deliberate, and it is covered in more detail in what your behavioral health EHR does not track about your staff.

Where a row says "not described", it means we could not find it stated on that company's public website in October 2026. It does not mean the capability is absent — only that you would need to ask them.

The differences that actually change the decision

Whether you have to replace your EHR

This is the biggest fork in the road, and it is not a feature question.

If you are happy with your EHR, Zoobook's HR module is not really available to you, because it arrives attached to an EHR migration. EHR migrations in behavioral health are long, expensive and disruptive to clinical staff. Taking one on in order to improve credential tracking is the wrong order of magnitude.

If you were already planning to change EHR, the calculation reverses and a combined system is worth serious consideration.

Whether you need HR or only compliance

CerTracker and BUAMS AI both track credentials. They are not trying to do the same job.

If you have HR covered — onboarding, files, reviews, payroll, policy distribution — and you only need credential and CE monitoring on top, a specialist is a clean fit.

If your onboarding runs on a checklist in a shared drive, your personnel files are in a cabinet, and your supervision hours are in a spreadsheet, then credential tracking alone fixes one symptom. The broader set is covered in our guide to behavioral health compliance management.

Supervision hours for pre-licensed staff

This is the capability most likely to be missing, and the most specific to this sector.

Pre-licensed clinicians accrue hours toward licensure, logged by session type, signed by a supervisor, reported in a format a state board accepts. It is a running total against a target, not a document with an expiry date — which is why credential tracking tools do not automatically cover it and generic HR software has no concept of it at all.

If you employ LPC-Associates, LMSW candidates or MFT interns, ask every vendor on your shortlist to show you this specifically. We go into the detail in clinical supervision management for behavioral health.

Whether you can see the price

CerTracker and Zoobook both route you to a demo rather than publishing pricing. That is a common enterprise model and it is not a criticism — it often reflects configurable scope.

It does mean you cannot compare cost without entering a sales process with each of them. Our pricing is published, including the setup fee, so you can work out your monthly cost before speaking to anyone.

Whether you can try it before committing

Both of the others start with a scheduled demo. BUAMS AI™️ starts with a 30-day free trial that needs no credit card.

That difference matters more than it sounds for a smaller organisation. A demo shows you the product working on the vendor's data. A trial shows you the product working on your roster, with your roles, your credential requirements and your actual mess. Those are different experiences, and only one of them tells you whether the software fits.

What none of these three do

Worth saying plainly, because it saves time on the shortlist.

None of them sit your survey for you. All three keep evidence organised; the interview and the judgement remain yours.

None of them write your policies. They distribute them and record acknowledgement.

Neither CerTracker nor BUAMS AI is an EHR, and neither is trying to be. Your clinical documentation stays where it is.

A practical way to shortlist

Rather than comparing feature lists, run the same three requests past each vendor and compare the answers.

First, ask each to produce a complete personnel evidence pack for one employee — licence, background check, training completions with dates, signed policy acknowledgement, supervision hours if pre-licensed, and last performance review — as a single export. Watch how many steps it takes.

Second, ask what happens on the day a licence expires and nobody has acted. You are listening for an escalation path that changes who it notifies, not a reminder email. That distinction is the subject of credential tracking for behavioral health.

Third, ask what it costs for your actual headcount, including setup, and whether you can run it on your own data before signing anything.

The answers to those three will separate the options faster than any comparison table, including this one.

Frequently asked questions

Can we use CerTracker and an HR system together?

Yes, and plenty of organisations do run a compliance specialist alongside separate HR tooling. The cost is that personnel evidence then lives in two systems, so assembling a complete file for a surveyor means exporting from both and reconciling the dates. Whether that is acceptable depends on how often you are asked for it.

Is an all-in-one EHR with HR built in simpler?

It is simpler when you are buying both at once. It is considerably less simple when you already have an EHR you intend to keep, because the HR module is not sold separately from the system it lives in.

We are small. Is this category only for large providers?

The compliance requirements do not scale down. A ten-person practice has the same licence expiry, supervision and training obligations as a hundred-person one, with fewer people to watch them. What changes is how much process you need, not whether the records are required. Our guide to multi-location HR management covers the point at which organisations usually outgrow spreadsheets.

How do we evaluate without wasting weeks?

Start with whichever option lets you test on your own data. Load a sample of your roster, configure requirements for two or three real roles, and try to produce an evidence pack. You will learn more in an afternoon than in three scheduled demos. Start a free trial or book a walkthrough if you would rather be shown around first.

Where to go from here

If your EHR is staying and your workforce records are spread across folders, spreadsheets and somebody's memory, the gap you are trying to close is the one BUAMS AI™️ was built for. You can see everything the platform covers, how we handle personnel data, and what accreditation standards it is built around.

Or load your own roster and find out directly — 30 days free, no credit card.
